How GiveWheel Handles Donations
When you make a donation through GiveWheel, GiveWheel receives and processes the payment and is responsible for arranging the application of the charitable amount for the benefit of the charity or charitable purpose you select.
GiveWheel may use different payment and disbursement providers to process payments and make payments to recipient charities. The way a donation is processed and disbursed does not affect the charitable purpose you selected at the time of giving.
For more information about how GiveWheel receives, administers, allocates, refunds and disburses donations, please see our Donations, Receipt and Disbursement Policy, which forms part of our Terms of Service.

How Donations Are Handled
When you make a donation through GiveWheel:
- Your payment is securely processed using GiveWheel and the relevant payment provider.
- The charitable amount of your payment is recorded for application for the benefit of the charity or charitable purpose you selected.
- GiveWheel carries out any verification, compliance, fraud-prevention and payment checks that are required.
- GiveWheel arranges the onward payment using an approved disbursement method.
- The recipient charity receives the relevant payment together with the reporting information applicable to that disbursement method.
GiveWheel may combine amounts intended for the same charity and may use a different payment or disbursement route from the one used to receive the original payment.
Any payment-processing fees, platform fees, optional supporter contributions or other charges will be disclosed before payment where applicable.
When Do Charities Receive Donations?
For most eligible UK charities, GiveWheel ordinarily makes disbursements monthly.
This means that charities may receive donations while a fundraising page is still open and before a fundraising challenge or event has finished.
Fundraisers do not normally need to take any action to trigger a payment. GiveWheel manages the disbursement process in accordance with its Donations, Receipt and Disbursement Policy.
Different payment timings may apply to Ticketed Events, Prize Competitions, Auctions, disputed transactions, compliance reviews or particular arrangements with a charity, fundraiser, event organiser or company.
How Charities Receive Funds
GiveWheel may use different payment and charitable-distribution methods depending on the charity, the nature of the fundraising activity and the applicable payment and compliance requirements.
Stripe
Where available, a registered charity may connect a Stripe account through its GiveWheel dashboard.
Where a payment is made to a charity through Stripe, the charity may receive the relevant payment directly through its connected Stripe account and may be responsible for dealing with any applicable Gift Aid claim in accordance with its arrangements with GiveWheel and the relevant payment or Gift Aid provider.
Charities Trust
GiveWheel may use Charities Trust, registered charity number 327489, as an approved charitable-distribution provider.
Where Charities Trust is used, it may provide charity verification, due diligence, payment and Gift Aid-related services.
Any applicable charges associated with the Charities Trust disbursement route will be dealt with in accordance with the applicable arrangements and disclosed where required.
Bank Transfer and Other Payment Methods
In some circumstances, including payments to smaller organisations or international charities, GiveWheel may arrange payment by bank transfer or another approved payment or charitable-distribution route.
GiveWheel may contact the recipient organisation where additional information is required before payment can be made.
International payments may be subject to additional banking, currency conversion or other charges where applicable.
What Happens if a Charity Cannot Receive the Funds?
GiveWheel will make reasonable efforts to resolve any issue preventing payment to the intended charity.
This may include asking the charity for additional verification or payment information, contacting the charity or using an alternative payment or charitable-distribution route.
Payment may not be possible where, for example, the organisation:
- cannot be verified;
- does not provide suitable payment information;
- has ceased operating;
- is subject to legal, regulatory or sanctions restrictions;
- objects to the fundraising activity; or
- is otherwise ineligible to receive the payment.
If the issue cannot reasonably be resolved, GiveWheel may, in accordance with its Donations, Receipt and Disbursement Policy:
- return the relevant amount to the donor;
- invite the donor or fundraiser to select another eligible charity;
- apply the amount for the benefit of another eligible charity with the same or a materially similar charitable purpose; or
- arrange for the amount to be applied through an approved charitable-distribution provider.
GiveWheel will exercise this discretion reasonably and in good faith, taking account of the charitable purpose communicated to the donor.
Can a Donation Be Changed After It Is Made?
Please contact GiveWheel as soon as possible if you believe you have made a donation in error or selected the wrong charity.
Because GiveWheel may process and disburse donations on a rolling basis, it may not always be possible to change the recipient or allocation after a donation has been processed or disbursed.
Refunds and changes are dealt with in accordance with our Donations, Receipt and Disbursement Policy.
Gift Aid
Where eligible, GiveWheel may act as a donor intermediary in relation to a donation and may collect, transmit or create Gift Aid declarations on behalf of the relevant charity in accordance with HM Revenue & Customs requirements.
Gift Aid declarations are associated with the donor, the relevant gift and the charity benefiting from that gift. GiveWheel may use an approved Gift Aid or charitable-distribution provider to administer the relevant Gift Aid process.
Where a charity receives donations through a payment or disbursement route under which it is responsible for claiming Gift Aid, the charity remains responsible for making any eligible claim with HM Revenue & Customs.
Where Gift Aid is administered through an approved charitable-distribution provider, that provider may deal with the relevant Gift Aid claim and payment in accordance with its arrangements with the charity.
Gift Aid is subject to HM Revenue & Customs rules. Not every donation will qualify for Gift Aid.
If you make a Gift Aid declaration, you must ensure that the information you provide is accurate and that you satisfy the applicable Gift Aid requirements.
For more information about Gift Aid declarations made through digital platforms, please see the relevant HM Revenue & Customs guidance.
